Your Role at Neotech:
As the Office Assistant, you will be responsible for handling a variety of administrative and clerical tasks to support our office operations. Your primary focus will be on maintaining an organized and efficient workplace, assisting team members with administrative tasks, and contributing to a positive office culture.
Key Responsibilities:
- Administrative Support: Assist with day-to-day administrative tasks such as answering phone calls, responding to emails, and managing correspondence.
- Office Management: Maintain office supplies inventory, ensure proper functioning of office equipment, and coordinate with vendors for office maintenance and repairs.
- Calendar Management: Schedule appointments, meetings, and conference rooms as requested by team members, ensuring efficient use of time and resources.
- Document Management: Organize and maintain physical and electronic filing systems, ensuring easy retrieval of documents as needed.
- Event Coordination: Assist in planning and organizing company events, meetings, and celebrations, including coordinating logistics, catering, and guest arrangements.
- Travel Arrangements: Assist team members with travel bookings, including flights, accommodations, and transportation arrangements.
- Data Entry and Reporting: Perform data entry tasks and assist with generating reports as needed to support various departments.
- Visitor Management: Greet and assist visitors to the office, ensuring a positive and professional experience.
- Assist with Special Projects: Provide support to various departments on special projects and initiatives as assigned by management.
Preferred Skills and Qualifications:
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in completing tasks.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office software.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Previous experience in an administrative or office support role is preferred but not required.
